Overall purpose of the role:
The Grants Management Specialist will ensure that all information and data from the field is captured, documented, analyzed and reported in a results-based and timely manner for donors and for internal purposes. This position will lead on all donor reporting and will further support the Grants Management Coordinator and the Programme Development and Quality Assurance Manager in other grants-related tasks, including but not limited to project progress tracking, project design, information management, and data analysis
Responsibilities:
• Ensure program output tracking tools are updated on monthly basis by relevant program teams.
• Draft/ edit high-quality and timely internal and donor narrative reports that meet donor and DRC requirements
• Liaise with programmes, finance, and logistic departments on reporting and ensure deadlines and requirements are met.
• Prepare necessary tools with detailed requests for data provision.
• Ensure quality information management related to grants.
• Provide draft answers to donor questions and requests on reports while ensuring compliance with donor regulations in consultation with the Grants and Compliance Manager.
• Liaise with the Finance Manager/Head of finance to ensure that narrative and financial reports are harmonized.
• Develop, update and circulate donors reporting timelines and requirements template.
• Collect and collate information from field teams and support in documenting ongoing activities in each project/thematic area.
• Timely disseminate reporting tools, requirements, and follow up to ensure internal and external reporting deadlines are respected.
• Review reports against project proposals and work plans to ensure consistency in narrative reporting.
• Conduct staff training needs assessment and organize corresponding training forums on results based program management and reporting.
• Provide guidance program staff to ensure successful reporting of programs, grants and contracts.
• Update DRC’s Grants Management System (GMS) with reports and proposals.
• Support writing assignments including contributing to sections of proposals and reports.
• Collect and collect program data from the M&E teams and ensure it is packaged in a user-friendly manner.
• Support project kick off and close out meeting and prepare corresponding meeting reports.
• Any other assignments as instructed by supervisor/manager.

Moreover, we also expect the following; Experience and technical competencies
Bachelor’s Degree in any relevant field.
Experience working in donor projects especially on grants management and reporting mechanisms.
At least 3 years’ relevant experience with an international NGO in reporting and grants management.
Proven experience working with the major donors including Danida, USAID, DFID, EC, UNHCR, UNICEF etc.
Proven ability to prioritize tasks and meet deadlines
A pro-active person who is able to work independently and who is at the same time a good team-player
Proven commitment to accountable practices
Fluent in written and spoken English.
Strong editorial skills.
Excellent written and verbal communication skills
Excellent narrative-writing ability.
Ability to align financial information with narrative of program progress.
Ability to research and synthesize complex sets of information.
Highly accountable with the ability to effectively manage both the big picture and small details while executing on both.
Must be task and process-oriented with an excellent sense of priority, logic, and objectivity.
Highly organized and capable of handling important tasks simultaneously while responding to unanticipated developments.
Advanced MS Excel and Word skills.
Conditions
Availability: 1st January 2019
Duty station: Bossaso with frequent travel to DRC’s offices across Somalia.
Reporting to: Grants Management Coordinator
Duration: 1-year contract with possibility of extension, subject to funding and Performance.
Contract: Salary and conditions in accordance with the Danish Refugee Council’s Terms of Employment for Global Expatriates (available at www.drc.dk under Vacancies). This position is graded as A15 for qualified National staff the terms of employment will be in accordance with DRC terms for National staff.
